Why Does Generic ERP Fail a Staffing Business?

The same person gets sold twice in a staffing business: first as a cost at the pay rate, then as revenue at the bill rate, with statutory burden, holiday accrual and insurance sitting in between. A generic ERP has no concept of a placement, so the number that actually matters, the weekly spread on each contractor, lives in a spreadsheet that one person maintains. Odoo can model this because a placement behaves like a project, complete with a contract, a timesheet stream and an analytic account, and Octura Solutions builds the pay-rate-to-bill-rate logic directly into the system instead of bolting it on around it.

Do You Know Your Margin on Each Placement This Week?

Once payroll closes, gross margin gets calculated, monthly, in a spreadsheet. By then the contractor has already worked four weeks at a rate discounted to win the account, statutory burden turned out underestimated, and the account manager who agreed to that rate never saw the real number soon enough to renegotiate.

Each placement in Odoo carries its own pay rate, bill rate and burden percentage on a dedicated analytic account. Contractor hours post through Timesheets, cost derives from pay rate plus burden while revenue derives from the bill rate, and a margin dashboard shows the spread per contractor, client, branch and recruiter every week instead of once a month. Because rate changes, overtime rules and client-specific rate cards are all applied at the placement level, nothing needs recalculating by hand.

How Many Days Pass Between a Timesheet and Your Invoice?

Contractor timesheets show up as photos, emails and client portal exports, in six different formats. One person re-keys them for payroll, another re-keys them for invoicing, and the two versions end up disagreeing. Each extra day in that cycle means another day of funding payroll before the client has even been billed.

Hours get entered on mobile in Odoo Timesheets, the client’s site manager approves them through the portal, and those same approved lines then drive both the invoice and the payroll export. A weekly batch runs per client in Odoo Invoicing, carrying the agreed grouping, purchase order reference and rate breakdown, which means invoices go out the day after approval rather than the following week, with any disputes settled against a documented approval record.

Why Does Every Redeployment Start From Scratch?

Once an assignment ends, the contractor effectively vanishes. Availability date, compliance documents, certifications and client feedback all sit buried in a recruiter’s notes, so the firm goes looking externally for a role that an already-vetted candidate could have filled the following week, at a better margin and with no onboarding cost at all.

The candidate pipeline lives in Odoo Recruitment, while Odoo Employees holds the placed contractors, complete with assignment end dates, certifications and document expiries. An availability view lists everyone rolling off within the coming weeks, scheduled activities prompt the recruiter before an assignment ends, and Odoo Documents keeps right-to-work, insurance and certification files with expiry reminders, so redeployment never stalls waiting on compliance paperwork.

Frequently Asked Questions

  • 01

Is Odoo an applicant tracking system?

Only a light one, which is exactly where agencies need to stay careful. Odoo Recruitment gives you a job pipeline, application stages, interview scheduling and a careers page, but postings do not syndicate natively to Indeed, LinkedIn or paid job boards, there is no CV parsing or Boolean search across a large candidate database, and it is not a VMS. Because of that, high-volume agencies tend to keep Bullhorn or a similar specialist ATS at the front of the funnel, integrating it with Odoo for contracts, timesheets, invoicing and margin.

  • 02

    Can Odoo run our payroll?

In some countries, yes, though for most North American agencies we would not recommend it. Odoo Payroll only covers a limited set of localized jurisdictions, and neither United States multi-state tax filing nor the full range of Canadian provincial requirements are included. The typical setup keeps ADP, Gusto or a PEO handling payroll itself, driven from approved Odoo timesheets, with the resulting cost posted back into Odoo Accounting so margin per placement stays accurate.

  • 03

Can Odoo handle permanent placement fees as well as contract work?

Yes, and by design the two behave quite differently. Permanent placements get quoted and invoiced from Odoo Sales as a one-off fee, with the rebate or guarantee period tracked on the record and a provision held open until it lapses. Contract placements, meanwhile, bill recurring hours from Timesheets. Since both post to the same client analytic account, a branch report can show perm and contract revenue and margin side by side.

How long does an implementation take for a staffing firm?

A single-brand agency with one payroll provider and a standard weekly billing cycle can expect 10 to 14 weeks. Firms running several brands, multi-state or multi-province burden rules, client-specific rate cards, and an existing ATS to integrate should plan on 14 to 18 weeks instead. We build and test the timesheet-to-invoice cycle first, since that is the part that actually touches cash.
