Odoo ERP for Accounting and Bookkeeping Practices, Engagements, Timesheets, WIP and Billing

Generic ERP assumes a product moving through a warehouse, but an accounting practice sells recurring compliance work and advisory hours instead, and its real inventory is unbilled time sitting in WIP. A practice that lacks a per-client analytic view has no way to know whether a fixed-fee return covered its cost until well after the deadline has come and gone. That is where Odoo fits: Project, Timesheets and analytic accounting model the engagement itself rather than the pallet, and Octura Solutions builds that model around how your partners actually price and bill.
Which Fixed-Fee Engagements Are Quietly Losing Money?
Most practices carry a fixed fee forward from last year's file and quietly absorb every extra schedule, late document and phone call that follows. Nobody tracks hours logged against the fee agreed, so recovery stays invisible until a partner writes off the difference at billing time, and by then the following year's fee has usually already been quoted at the same number.
Odoo treats each engagement as a Project with its own analytic account for the client and service line, and timesheets post at each employee's cost rate so hours build up against the agreed fee as the work happens. A recovery report broken down by client, service line and partner sets realized value against standard value, and an alert fires the moment a job crosses a set percentage of its fee, early enough that the scope can still be discussed while work is underway.
How Long Does It Take You to See WIP and Write-Offs?
Unbilled time sits aging in a spreadsheet that only one manager ever updates, so nobody actually knows how much WIP the firm is carrying, which files have gone stale, or how much got written off this quarter. Cash planning for the slow months becomes guesswork, and partners end up arguing about realization without a shared number to point to.
In Odoo, unbilled timesheet value becomes an analytic balance that can be aged just like a receivable. Draft invoices generate straight from timesheets, and a manager adjusts a line up or down before issuing it, with the difference landing on the client's analytic account so that write-off and realization reporting is simply a filter, not a rebuild. From there, Odoo Invoicing handles issuing, payment follow-up and reminder sequences without any separate chase list needed.
What Happens to Your Practice During Deadline Season?
The bottleneck in the six weeks before a filing deadline is rarely the accounting itself; it is chasing signatures and missing records over email while nobody can say where a specific file actually stands. Status lives in one person's head, and reviewers are usually the last to find out a file is ready for them.
Every return gets a task in Odoo Project, complete with review stages and a statutory due date, and the whole batch is generated in bulk from recurring templates each period. Source records come in through Odoo Documents and the client portal with a full audit trail, engagement letters and filing authorizations go out and come back through Odoo Sign with legally binding electronic signature, and client questions land in a shared Odoo Helpdesk queue rather than one preparer's inbox.

01
Can Odoo replace our tax preparation and compliance software?
No, and we won't pretend otherwise. Odoo isn't a certified practice-management or tax-filing suite, so it won't prepare or transmit T1, T2, 1040 or 1120 returns, there's no working paper file with audit-grade review sign-off, and it doesn't replace CaseWare, Taxprep, Drake or Lacerte. Most practices keep those tools in place and run Odoo as the layer wrapped around them, covering clients, time, WIP, billing and firm accounting, usually with the client list kept in sync between the two.
02
Can one system handle fixed fees, hourly work and monthly retainers?
Yes, all three fit together. Recurring bookkeeping and payroll fees go out automatically on their own cycle through Odoo Subscriptions, milestone invoicing for fixed-fee engagements runs through Odoo Project, and hourly work with overrun billing feeds in from Odoo Timesheets. Because all three land in the same Odoo Invoicing ledger and the same analytic account per client, the recovery picture never gets split apart.
03
How do we see profitability per client and per service line?
The mechanism behind it is analytic distribution. Every timesheet line, vendor bill, software subscription and expense gets tagged to a client and a service line, then reported as revenue less cost per analytic account, with employee cost rates in Odoo Employees driving the labor side of the calculation. Margin per client comes straight out of the records instead of being estimated at year end.
04
How long does an implementation take for an accounting practice?
For a single-office practice moving time, billing and firm accounting onto Odoo, plan on 8 to 12 weeks. Multi-office firms need more runway, usually 12 to 16 weeks, once several service lines, partner recovery reporting and an integration to existing tax software are in scope. Either way, we deliberately stage the cutover between filing peaks and avoid going live inside your busy season.
