Week 1–2
Inventory current QB usage: users, modules, customizations, integrations, data volumes. Identify what stays operationally (e.g., bank-feed rules, recurring transactions, custom reports) and what doesn't (manual workarounds replaced by Odoo native features).

Week 2–3
Export and profile QB chart of accounts, customer/vendor lists, item master, open AR/AP, and at least 2 years of historical transactions. Flag duplicates, normalize naming, identify chart of accounts simplifications.

3. Mapping
Week 3–5
Map QB COA to Odoo COA (typically a redesign opportunity). Map customers/vendors to Odoo partners with dedupe. Map items to products with proper categorization, costing method, and inventory tracking.

4. Configuration + transformation
Week 5–10
Configure Odoo against the mapped data model. Build transformation scripts for historical transactions. Run first dry-run migration into a sandbox; reconcile balances against QB closing trial balance.

5. UAT + second dry-run
Week 10–12
Business team runs end-to-end UAT against the sandbox. Discover edge cases, refine mappings. Second dry-run with refined scripts; reconcile again.

Final QB freeze on a Friday, run production migration over weekend, reconcile balances, go live Monday. 30 days of close hypercare.

01Can we keep QuickBooks running during the migration?
Yes, we run a 4–6 week parallel period where transactions go into both QB and Odoo. This catches edge cases before cutover and gives the finance team confidence in the Odoo numbers.
02What happens to our historical QB data?
Two options: (1) Migrate historical transactions into Odoo, accurate but adds 2–3 weeks; (2) Keep historical QB as read-only archive with a documented exit playbook. We recommend option 1 for most mid-market migrations because historical reporting in Odoo is more valuable than the time saved.
03Do we need a finance person dedicated full-time?
No, but a finance lead needs 8–12 hours per week through discovery and UAT, ramping to 15–20 hours per week in the two weeks before cutover. Less involvement than that and the migration drifts.
04Will our 1099 and W-2 vendor data carry over?
Yes. 1099-eligible vendors and their year-to-date amounts are migrated. W-2 data for payroll typically stays in your payroll system (Gusto, ADP, etc.) until year-end, then moves to Odoo Payroll if you're consolidating.
05What if our QB has custom integrations?
We inventory each integration during discovery. Native Odoo replacements exist for most common QB integrations (BillCom for AP, Bill.com for AP automation, Avalara for tax). For custom integrations we rebuild against the Odoo API.
